Case Study: Keeping Coffee Equipment Running When a Critical Part Is No Longer Available

The Challenge: A Small Part, A Big Problem
A company specializing in the service and repair of commercial coffee equipment was facing a recurring challenge.
One of the machines they serviced relied on a small component that had become increasingly difficult to source.
The original manufacturer no longer offered the component as an individual replacement, while available alternatives were difficult to find and came with extended lead times.
For the service company, this created a much larger problem than simply finding one part.
Every unavailable component could mean:
- Longer equipment repair times
- Delayed service calls
- Higher sourcing costs
- Difficulty supporting older machines
- Potential equipment downtime for their customers
The company needed a practical replacement-part solution without replacing the entire assembly.
The Starting Point
The customer provided an existing physical component along with information about the equipment in which it was used.
The available information included:
- A physical sample
- Basic measurements
- Photos
- Equipment information
- Application requirements
There were no complete manufacturing drawings available.
Instead of allowing the missing documentation to stop the process, the existing component and its application were used as the starting point for developing a replacement.
The Solution: A Custom Replacement Part
Parts Cloud International evaluated the component and its application to determine the requirements for a replacement part.
The objective was straightforward:
Create a replacement component that could perform the required function within the existing equipment.
The part was then prepared for custom manufacturing based on the required dimensions, specifications and application.
This approach allowed the service company to obtain the component independently of the original manufacturer’s availability.
From One Component to a Repeatable Supply
The project was not only about solving one immediate repair.
The service company needed a solution that could be repeated whenever additional machines required the same component.
An initial production run of 50 replacement components was planned, giving the customer an inventory of parts that could be used for future service requirements.
This changed the situation from:
“We need to find this part every time a machine breaks.”
to:
“We have a reliable source for this component when we need it.”
The Result
The representative project helped the customer:
- Maintain older coffee equipment
- Reduce dependence on an unavailable OEM component
- Avoid replacing larger assemblies unnecessarily
- Keep replacement components available for future repairs
- Create a repeatable sourcing option
The original sourcing process could take approximately 6–8 weeks, while the custom manufacturing solution provided a shorter and more predictable production window.
Project details and figures are representative and have been modified to protect client confidentiality.
Why This Matters for Coffee Equipment Companies
Commercial coffee equipment can remain in operation for many years.
The challenge is that equipment life and parts availability do not always follow the same timeline.
A machine can continue working perfectly while one small component becomes obsolete or difficult to source.
For equipment service companies, this can turn a relatively simple repair into a supply chain problem.
Custom replacement parts can provide another option when traditional sourcing is no longer practical.
When Should You Consider a Custom Replacement Part?
Custom manufacturing may be an option when:
- The original part has been discontinued
- The OEM has an extended lead time
- The component is difficult to source
- A part is only available as part of a larger assembly
- The equipment is older
- Standard replacement parts do not meet the application
- You have an existing part that can be used as a reference
- You need a repeatable source for future repairs
